Receptionist

POSITION OVERVIEW:
As a receptionist, you will be the first point of contact for the organization, responsible for creating a welcoming and professional atmosphere.
You will handle a variety of administrative tasks, manage incoming calls, greet visitors, and provide excellent customer service.

RESPONSIBILITIES:

Front-desk Management
• Greet and welcome visitors in a friendly and professional manner.
• Answer and direct incoming calls to the appropriate department or person.
• Maintain a clean and organized reception area.

Administrative Support
• Assist with various administrative tasks, including data entry, filing, and document preparation.
• Handle incoming and outgoing mail and packages.

Appointment Scheduling
• Schedule appointments and meetings for staff members (with Company Doctor).
• Maintain and update calendars to ensure accuracy.
• Ensure meeting rooms are well-equipped, clean, and organized for scheduled meetings

Customer Service
• Provide information to visitors and callers about the organization’s products and services
• Assist in resolving customer inquiries by directing them to the appropriate person.

Communication
• Communicate effectively with employees, clients, and visitors.
• Relay important messages to the relevant individuals in a timely manner.

Security
• Monitor and control access to the premises.
• Issue visitor badges and maintain a visitor log.

Office Stationery Management
• Monitor and maintain inventory of office supplies and stationery.
• Distribute office supplies to staff as required.

PROFILE
• Holder of Higher School Certificate with two credits.
• Certificates in Front Office or secretarial studies are most welcome.
• Knowledge of Microsoft Office
• Fluent in French and English, both orally and in writing.
• Good grooming and outgoing personality.
• Open to Mauritian citizens only.

Human Resources Trainee

JOB DESCRIPTION
The Human Resources Trainee will provide administrative and operational support to the HR team across various HR functions, including recruitment, onboarding, employee records management, expatriate administration, and employee engagement activities. The role also includes supporting HR documentation, occupation permits, and visa processes, and contributing to HR projects and daily operations while ensuring confidentiality and accuracy of employee information.

KEY RESPONSIBILITIES
1. Assist in expatriate recruitment and administrative formalities, including collection and verification of documents, coordination with external authorities (e.g., occupation permits, visas), and supporting onboarding arrangements
2. Assist in the recruitment process (job posting, CV screening, interview scheduling, and candidate communication)
3. Maintain and update employee records and HR databases
4. Support onboarding and induction processes for new employees
5. Assist in preparing HR documents such as contracts, letters, and internal communications
6. Participate in employee engagement initiatives and HR events
7. Provide general administrative support to the HR team as required
8. Ensure the confidentiality of employees and company information at all times
9. Assist in HR projects and other assignments as delegated by the HR team

PROFILE AND SKILLS
1. Open to recent graduates with a degree in Human Resources Management, Business Administration, or any related field
2. Good communication and interpersonal skills
3. Strong organizational skills and attention to detail
4. Ability to handle confidential information with discretion
5. Proficiency in Microsoft Office (Word, Excel, PowerPoint)
6. Willingness to learn HR systems and processes
7. Proactive, adaptable, and eager to learn
8. Ability to work independently and as part of a team
9. Applicable to Mauritian residents only
